POLICY SERVICES ADMINISTRATION DEPARTMENT

Responsible for monitoring and follow through of service related requests for the Policy Operations unit, and tracking all Primary Workers’ Compensation, Commercial Auto, and General Liability transactions to include: New Business, Renewals, Endorsements, Cancellations, Reinstatements and Non-renewals. This position includes the accuracy in which transactions are issued and distributed to our customers.

Monitors and prioritizes transaction and service related requests using the PSA Tracking application. These records are created as the transactions and requests for service are received from other departments or external customers for system processing. This includes the data entry of applicable information into a database record, and ensuring the appropriate and timely routing of the policy transaction or service request.
Responsible for the accurate and timely interface of primary worker’s compensation Employer Location/Entity information import into the IMS Application. Conducts thorough reconciliation, maintenance and error detection of the worker’s compensation Locations in IMS.
Daily monitoring of the Primary Bound Quote queue in IMS to identify newly bound policies. Opens dialogue with appropriate underwriting specialists to ascertain timing receipt of the new/renewal primary Location information necessary to produce state mandated Poster Notices.
Responsible for the accurate production of state required Posting Notices for all new, renewal and applicable endorsements. This includes ensuring the correct policy data populates applicable notices, correct notices are retrieved from state profiles, correct paper stock is used, and edits are made to the customer’s standards.
Responsible for the production and distribution of Commercial Automobile Insurance Cards (Auto ID Cards) for clients. This includes ensuring the correct policy data populates applicable Auto ID Cards, correct paper stock is used, and edits are made to the customer’s standards.
Retrieval of Experience Modifiers from NCCI and various state bureau websites. This entails the creation of new policy transactions to be processed in order to mitigate potential fines and criticisms. Communication to appropriate SN UW and PSA personnel is required when discrepancies are identified.
Distributes policies and transaction documents to client. This includes attaching the appropriate documents as mandated by state bureaus; the creation of mailing and tracking labels; and the maintenance and accuracy of the PSA Tracking database and ImageNow files.
Manages any calls or email requests sent to the PSA Help Desk. Enters appropriate data in PSA Tracking, resolves first line issues or assigns responsibility to second level staff, escalating emergencies and following up with the responsible party for resolution.
Monitoring and ordering of paper stock for state poster notices and departmental supplies.
Stocks Large Policy/Poster Notice Copy machine with multiple poster/policy paper and deals with either GFI or IS Help Desk to resolve Printer issues.
Provides assistance for switchboard relief during designated PSA times as needed.
Acts as backup for designated PSA personnel.
Special duties or projects as assigned by the AVP of Policy Services Administration, Director of Policy Services or Manager – Large Casualty Policy Operations.
College Degree desirable
Previous insurance industry experience desirable
Experience in Microsoft Excel and Microsoft Word required
Must have excellent organizational and time management skills
Must have the ability to prioritize, work on multiple tasks simultaneously, and be able to take direction from many sources.
Must have good oral and written communication skills, ability to problem solve and work closely with others
Must be able to work in a team environment
